Privacy Policy

1. Introduction

Linknesis ("Linknesis", "we", "us", or "our") provides self-hosted network monitoring software. This Privacy Policy explains what personal data we collect, why we collect it, how we protect it, and what rights you have. It is written to comply with the EU General Data Protection Regulation ("GDPR") and other applicable data protection laws.

The short version: because Linknesis is self-hosted, your monitoring data never reaches us. We only process the minimum data needed to run this website, manage customer accounts and subscriptions, validate licenses, and distribute software updates.

2. Data controller

Linknesis is the data controller for the personal data described in this policy. For any question about this policy or to exercise your rights, contact us at privacy@linknesis.com.

3. Scope of this policy

This policy covers the services that we operate:

this website (linknesis.com) and the documentation site (docs.linknesis.com);
the customer panel at panel.linknesis.com (accounts, subscriptions, license tokens);
the license validation service contacted by self-hosted installations; and
the software update and download infrastructure.

This policy does not cover your own self-hosted Linknesis installation. You (or your organization) operate that installation on your own servers, and any data it processes is under your exclusive control — see Section 5 and Section 13.

4. Data we collect

4.1 Website visitors

Like virtually all web servers, our servers automatically record technical access logs when you visit our sites: IP address, date and time of the request, requested URL, HTTP status, referrer, and browser/operating-system identification (user agent). We use these logs solely for security, abuse prevention, and troubleshooting. We do not use website analytics, advertising networks, or tracking technologies on this site.

4.2 Account and subscription data (Panel)

When you create an account on the Panel we collect the data you provide: email address, a password (stored only as a cryptographic hash), and optionally a name or company name. We also generate and store subscription records (plan, limits, renewal dates) and your license tokens.

4.3 Billing data

For paid subscriptions, payments are handled by third-party payment providers. We receive and retain the information needed for invoicing and accounting (such as billing name, address, VAT number where applicable, and transaction references). We do not store full payment card numbers.

4.4 License validation and update telemetry

A self-hosted Core installation periodically contacts our infrastructure to (a) validate its license token and (b) check for and download software updates. These requests transmit:

the license token and a randomly generated installation identifier (a UUID created on first boot, not derived from your hardware or data);
the installed software version and selected update channel;
the IP address of the requesting server and the timestamp of the request (standard connection metadata).

We use this data to enforce subscription limits, show you the status of your installations, deliver the correct updates, and protect the service against abuse. No monitoring data, test results, configurations, or credentials from your installation are ever transmitted to us.

4.5 Communications

If you contact us (for example by email for support, sales, or legal matters), we process the correspondence and the contact details you provide in order to respond and keep a record of the exchange.

5. Data we do not collect

Because Linknesis is self-hosted software:

We do not host, receive, access, or back up your monitoring data — test results, probe metadata, network topology, IP addresses of monitored systems, webhook payloads, or AI analysis conversations. All of it resides exclusively in the database of your own installation.
We have no remote access to your servers or your Linknesis web interface.
If you enable optional integrations (AI providers, MaxMind geolocation, webhook endpoints), your installation communicates directly with the provider you configured, using your own API keys, under that provider's privacy policy. That traffic does not pass through Linknesis systems.

6. Purposes and legal bases (GDPR Art. 6)

Providing the Panel, licensing, and updates — performance of a contract (Art. 6(1)(b)).
Billing and accounting records — legal obligation (Art. 6(1)(c)).
Security logging, abuse prevention, service protection — legitimate interests (Art. 6(1)(f)): keeping our services secure and preventing fraud and license abuse.
Responding to your enquiries — legitimate interests, or steps prior to entering a contract (Art. 6(1)(b) and (f)).
Service emails (renewal notices, security notices, material changes to terms) — performance of a contract or legitimate interests. We do not send marketing emails without a lawful basis, and you can opt out of any non-essential communication.

We do not use your personal data for automated decision-making with legal or similarly significant effects, and we do not build advertising profiles.

7. Cookies and local storage

This website does not use analytics, advertising, or cross-site tracking cookies. It stores only functional values in your browser's local storage:

ln-theme — your light/dark theme preference;
ln-cookie-consent — whether you have dismissed the cookie notice.

These values never leave your browser and are not used to identify or track you. The Panel uses strictly necessary session cookies required to keep you logged in; these are exempt from consent requirements under the ePrivacy rules. You can delete all of these values at any time through your browser settings.

8. Sharing and processors

We do not sell or rent personal data, and we do not share it with advertisers. We share personal data only with:

Service providers (processors) that help us operate — such as hosting/infrastructure providers, email delivery, and payment providers — under contracts that restrict their use of the data to our instructions;
Authorities, where disclosure is required by law or necessary to establish, exercise, or defend legal claims; and
A successor entity in the event of a merger, acquisition, or asset sale, subject to this policy.

9. International transfers

Our infrastructure is primarily hosted within the European Union. If a service provider processes personal data outside the European Economic Area, we rely on an adequacy decision of the European Commission or appropriate safeguards such as the EU Standard Contractual Clauses. You may request more information about applicable safeguards at privacy@linknesis.com.

10. Data retention

Server access logs: retained for up to 12 months, then deleted or anonymized.
Account and subscription data: retained for the life of your account and deleted or anonymized within a reasonable period after account closure, except where longer retention is required.
Billing and accounting records: retained for the periods required by applicable tax and commercial law.
License validation records: retained while the associated subscription is active and for a limited period afterwards for security and dispute resolution.
Support correspondence: retained for as long as needed to handle the matter and for a reasonable period afterwards.

Data processed inside your self-hosted installation is retained according to the settings you configure there (for example the test history rotation period); we have no ability to retain or delete it.

11. Security

We apply technical and organizational measures appropriate to the risk, including encryption in transit (TLS) for all our services, password hashing, access controls and the principle of least privilege, network isolation of databases, and timely security updates. The self-hosted Software itself is designed with security in mind (TLS 1.3 with certificate pinning for probe communication, encrypted channels, no inbound access required by us). No system can be guaranteed absolutely secure; if we become aware of a personal data breach affecting you, we will notify you and the competent authority as required by GDPR Articles 33 and 34.

12. Your rights

Under the GDPR you have the right to:

access the personal data we hold about you (Art. 15);
rectify inaccurate or incomplete data (Art. 16);
erase your data in the circumstances set out in Art. 17;
restrict processing (Art. 18);
data portability for data you provided to us (Art. 20);
object to processing based on legitimate interests (Art. 21); and
withdraw consent at any time where processing is based on consent, without affecting prior processing.

To exercise these rights, email privacy@linknesis.com. We will respond within one month, extendable as permitted by law for complex requests. We may ask you to verify your identity before acting on a request. You also have the right to lodge a complaint with the data protection supervisory authority of your habitual residence, place of work, or the place of the alleged infringement.

13. Your self-hosted installation: your role

If your organization runs a Linknesis installation, your installation may process personal data of third parties — for example IP addresses and hostnames of monitored systems, or account activity of your own operators. For that processing, your organization is the data controller and is responsible for GDPR compliance, including having a lawful basis, informing data subjects where required, and setting appropriate retention. Because we have no access to your installation, Linknesis acts neither as a controller nor as a processor for that data, and no data processing agreement with us is required for it.

14. Children

Our website, Software, and Services are intended for professional use and are not directed at children under 16. We do not knowingly collect personal data from children. If you believe a child has provided us personal data, contact us and we will delete it.

15. Changes to this policy

We may update this Privacy Policy from time to time. We will post the revised version on this page with an updated date and, for material changes, notify registered users by email or through the Panel before the changes take effect.
